PMotive Custom API Integration Services

Connect business systems without replacing tools that already work

PMotive scopes and develops custom API integrations, webhook workflows and middleware for businesses that need applications to exchange data reliably. The work starts with the systems, records, triggers and business rules that need to connect—not with a generic connector.

When a custom API integration is the right solution

A custom integration can be appropriate when staff repeatedly copy information between systems, an important process depends on CSV exports or spreadsheets, an off-the-shelf connector cannot express the required logic, or two systems expose APIs but still need mapping, validation and failure handling between them.

Not every connection requires custom code. If a supported native integration or well-established connector meets the requirement safely, PMotive can scope around that rather than duplicate functionality unnecessarily.

Integration use cases PMotive can assess

  • CRM and lead-management integrations
  • Shopify and ecommerce integrations
  • Website forms and business-system handoffs
  • Marketing and customer-support platforms
  • Internal tools, dashboards and portals
  • Data synchronisation and transformation
  • Webhook and event-driven workflows
  • Custom middleware between business applications
  • Approved payment, fulfilment or operational integrations where supported
  • AI and automation workflows that need controlled access to existing systems

API integration versus workflow automation versus custom software

Custom API Integration is primarily about connecting existing systems and moving or transforming data between them.

AI & Business Automation is primarily about automating a business process across triggers, rules, decisions, follow-up and human handoffs.

Custom Software Development is the better route when the business needs a broader bespoke application, portal, dashboard or system rather than an integration layer alone.

What PMotive reviews before an integration is built

  • which systems need to connect
  • which system is the source of truth for each important record
  • the data fields that need to move and how they map
  • API or webhook availability and documentation
  • authentication and permission requirements
  • trigger direction and expected frequency
  • rate limits, quotas and third-party restrictions
  • validation and duplicate-prevention requirements
  • failure, retry and reconciliation behaviour
  • logging, monitoring and human escalation requirements
  • privacy, retention and security constraints that apply to the data

Authentication and access

Integrations can use mechanisms such as OAuth, API keys, service accounts or platform-specific authentication depending on what each provider supports. Access should be limited to the permissions required for the agreed workflow where the platform allows it. Production secrets should be stored and transferred using appropriate secure methods; do not send passwords or private API keys in the initial project enquiry.

Webhooks, polling and event-driven integrations

Where a platform provides suitable webhooks, an integration can respond to supported events without continuously polling for changes. Webhooks still require validation, duplicate handling, error handling and a plan for events that arrive late, arrive more than once or cannot be processed immediately.

Polling can still be appropriate where webhooks are unavailable or unsuitable, but frequency must respect the provider’s limits and the business need.

Rate limits and third-party dependencies

APIs can impose request limits, quotas, payload limits and other restrictions. A reliable design accounts for those constraints instead of assuming unlimited access. Depending on the provider, this can require queuing, backoff, batching, caching or controlled retry behaviour.

Third-party APIs can also change, become unavailable or alter permissions. PMotive can build against documented capabilities available during the project, but cannot guarantee the permanent availability or behaviour of an external provider.

Retries, duplicate prevention and idempotency

Network failures and timeouts can make it unclear whether an operation succeeded. Where the connected platform supports suitable idempotency controls, request identifiers or equivalent safeguards can reduce duplicate writes when an operation is retried. The appropriate approach depends on the APIs involved and the consequences of repeating an action.

Data mapping and source-of-truth decisions

Before synchronising systems, the project should define which application owns each important field and what happens when records conflict. Two-way synchronisation without clear ownership can create loops, overwrites and inconsistent records. PMotive scopes field mapping, transformation, validation and conflict behaviour before implementation where these risks apply.

Error handling, logging and reconciliation

An integration should not silently discard important failures. Depending on scope and risk, implementation can include structured error logging, retry rules, failed-item queues, alerts or a reconciliation process so exceptions can be reviewed. The required controls should be agreed as acceptance criteria rather than assumed after launch.

Security, privacy and sensitive data

Integration architecture should minimise unnecessary access and data movement. Requirements can include permission boundaries, encrypted transport, secret management, logging controls, retention rules and appropriate treatment of personal or sensitive information. The client remains responsible for the legal, contractual and industry requirements that apply to its systems and data.

How a PMotive integration project works

  1. Discovery: identify systems, business objective, users and current manual handoffs.
  2. Technical review: inspect available API documentation, authentication, permissions, limits and dependencies.
  3. Data contract: define source-of-truth ownership, field mapping, triggers, transformations and expected outputs.
  4. Failure design: agree duplicate handling, retries, exceptions, monitoring and human escalation.
  5. Scope and acceptance criteria: define included endpoints, workflows, environments, tests and exclusions.
  6. Build and test: implement the agreed integration and verify expected paths and controlled failure cases.
  7. Deployment and handover: confirm production access, documentation, ownership and any maintenance or monitoring included in scope.

What to include in your integration brief

  • the names of the systems that need to connect
  • links to official API documentation if available
  • the business process the integration supports
  • which data must move in each direction
  • which system should own each important record
  • what event should trigger the integration
  • expected transaction or request volume if known
  • what should happen when a request fails
  • important privacy, security or approval requirements
  • your preferred launch timing

Frequently asked questions

What is a custom API integration?

It is software that lets separate systems exchange or act on information through supported programmatic interfaces. A custom integration can include authentication, data mapping, validation, transformation, triggers, error handling and monitoring around those interfaces.

Can PMotive connect to any software?

Not automatically. Feasibility depends on whether the systems provide suitable APIs, webhooks or another supported integration method, plus the required permissions and documentation. PMotive reviews those constraints before confirming the implementation scope.

What if one of our systems has no API?

The options depend on the platform. A supported export/import workflow or another documented integration method may be possible, or the limitation may make the desired automation impractical. PMotive will not imply direct API connectivity where none exists.

Do we need to replace our existing CRM or ecommerce platform?

Not necessarily. Integration is often useful precisely because the existing systems still serve a purpose but need to exchange information more reliably.

Can you integrate Shopify with a CRM or internal system?

Potentially, where the required Shopify and third-party capabilities are available and the project has appropriate permissions. The exact architecture depends on the records, events and actions that need to be synchronised.

Can an API integration work in real time?

Some workflows can operate near real time using supported events or webhooks, while others depend on polling, queues, provider processing time or rate limits. Timing should be defined from the capabilities of the connected systems rather than promised generically.

What happens if an API request fails?

The expected behaviour should be designed before launch. Depending on the use case, this can include retry rules, logging, alerts, a failed-item queue or manual reconciliation. High-impact actions may require stricter safeguards than low-risk data updates.

How do you prevent duplicate records or actions?

Controls can include stable record identifiers, deduplication rules and, where supported, idempotency mechanisms. The correct design depends on the systems and operation being performed.

How much does a custom API integration cost?

Cost depends on the number and quality of APIs involved, authentication, data mapping, workflow complexity, expected volume, testing, security requirements, deployment and ongoing support. PMotive confirms commercial terms after reviewing the integration requirement.

How long does an API integration take?

Timing depends on API access, documentation quality, sandbox or test environments, approvals, workflow complexity and third-party dependencies. A delivery schedule should be agreed after technical discovery.

Who maintains the integration after launch?

Monitoring, maintenance, provider changes and post-launch support depend on the agreed project scope. These responsibilities should be documented before handover.

Can you guarantee an integration will never fail?

No. Integrations depend on networks, external systems, credentials, APIs and third-party availability. PMotive can design and test for agreed conditions and failure scenarios, but cannot guarantee uninterrupted operation of systems outside its control.

Connect the systems behind the workflow

Tell PMotive which systems need to communicate, what information needs to move and what should happen when the connection succeeds or fails. We can then determine whether a custom integration, workflow automation or broader software build is the appropriate route.
